What the app keeps

Garage Log stores submitted recordings, pictures, notes, team identifiers, submission dates, coach replies, transcripts, reports, and their revision history on the program's Raspberry Pi. Browser session cookies provide team or administrator access. A finished but unsent draft may remain on the recording device until it is submitted or discarded. Backups preserve submitted evidence and report history.

Who can see submissions

Administrators can review submissions from all teams. Submitters can revisit their own receipts in the same browser session. Administrators can also share an update with its team. Team access is controlled through each team's QR invitation; keep those invitations within the program.

The Google Drive connection

Only administrators connect the personal and program Google accounts. Students do not need to sign in to Google to submit an update. Google asks the administrator to select the two Documentation folders for each account.

Garage Log requests access to specific files and folders selected for this app and files it creates, using Google's drive.file permission. It reads the connected account's email address and the selected folders' metadata to check the connection and its ability to add files. It does not request access to the whole Drive or Gmail.

After an administrator approves a report, the Pi files a dated Google document, embedded pictures, original recordings and pictures, and an evidence record in both the selected personal and program destinations. The app reads its filed copies back to check their contents. Existing folder permissions determine who can see these copies; Garage Log does not change sharing permissions.

Storage and use

Google account email addresses, selected folder identifiers, filing status, and file links are stored with the app's records. Google connection credentials are stored separately in restricted files on the Pi and are excluded from standard app backups. Connections use HTTPS.

Audio transcription runs locally on Jason's Windows computer. Administrators may use their own assistant to help prepare reports before approving them. The Drive connection is used for filing, checking, and linking the program's documentation. Garage Log does not sell Google user data, use it for advertising, or send it to an automated paid AI service.

Pausing, disconnecting, and deleting

An administrator can pause automatic filing on the Drive filing page. A Google account owner can revoke Garage Log's access through Google Account connections. Revocation stops future authorized Drive access; it does not remove documents already filed.

Submitted records and filed reports are kept until the program removes them; they are not automatically deleted at the end of a season. To request a correction or deletion, contact Jason at [email protected]. Removal must account for the Pi, personal and program Drive copies, and any retained backups. Other people with folder access may have made their own copies.
